Ulyses Suite understands room check-in as a process in which the arrival of a reservation is confirmed and assigned to a physical room. The check-in process consists of the following steps
- STEP 1 - Room Summary
- STEP 2 - Guest Identification
- STEP 3 - Room Assignment
- STEP 4 - Reservation Guarantees
The check-in process can be started from different points in the application, specifically
- Check-in from the dashboard
- Check-in from the reservation planning
- Check-in from the reservation record
We can also cancel the check-in process for those reservations that were completed by mistake.
STEP 1 - Room Details
This first step shows a summary of the room to be checked in
STEP 2 - Guest Identification
In this step, Ulyses Suite displays the customer data form. It is possible to determine which fields are mandatory from the property preferences. Additionally, based on the data we receive, Ulyses Suite will automatically calculate possible matches
At this point, we can link our guest with a client who has stayed previously. As a result, the established link will be shown as well as the client's history
STEP 2.1 - Guest Age Validation
If the client's age is outside the configured limit for their occupancy, an alert will appear in the form of an exclamation mark for this occupancy. The alert is for informational purposes only and will not block the client's registration.
STEP 3 - Room Assignment
In this step, we select the available room in which we want to assign the arrival. For this, Ulyses Suite allows filtering rooms as needed.
In this step, we can also know
- Which rooms any of the guests have stayed in previously
- The sum of room and health preferences of any of the guests staying
- Change the room status
- Whether it is free or occupied
STEP 4 - Reservation Guarantee
Finally, before completing the check-in process, we can request a guarantee from the client in the form of a credit card or voucher
Once completed, Ulyses Suite informs us whether the check-in was successful or not and, if successful, allows us to print the registration form or go to the room account
Check-in from the Dashboard
To start the check-in process from the dashboard, simply have the Daily Reservations widget activated, as shown below
Check-in from the Reservation Planning
To do this
- go to Frontdesk>Reservation Planning
- Click on
for reservations pending check-in
- Select Check-in
Check-in from the Reservation Record
To do this, go to any and
- Reservation record>Select stay>Check-in
Revert Check-in Process
If by mistake we want to undo the check-in process of a room, we can do so from the reservation record during the same day the check-in was made. We can do this through:
- Reservation record>Select stay>Options>Revert check-in
Or from the Reservation Planning as follows:
- Frontdesk>Reservation Planning
- Click
on a room that was checked in "today"
- Select Revert check-in
