The reception book is the place where reception staff traditionally left messages for the rest of the team, such as customer-related notes, pending tasks, etc.
In Ulyses Suite, rather than simply incorporating this functionality, we have added a chat so that all hotel staff can communicate easily and in an integrated way within Ulyses PMS. It is designed so that conversations can take place between different teams, allowing not only conversations between reception staff, but also for management to send messages to other departments or vice versa.
To make the most of the reception book, we need to configure it first, and from there we do this, follow these steps:
Once the different categories have been configured, we will be ready to use the corresponding operation, either through the main menu of the PMS or through the Widget on the Dashboard.
It is important to keep the following points in mind:
- If after writing a message we have not selected which category has access to it, all staff will be able to read it.
- The creator of the comment can delete or edit it.
- We can also upload documents (such as plane tickets or tickets for a client).
Configuring read/write message permissions
Managing read and write permissions for messages in the reception book is a configuration that we will set at the general (chain) level. We understand that if we define the configuration in a general way, it should be easy to transfer it to the rest of the hotels in the chain.
To do this, go to Reception book category and either create new categories or edit one of the existing ones.
To assign permissions to a role so that it can view and edit the reception book, go to:
Chain configuration > General > Role > Enter the role you want to modify permissions for > Permissions > PMS > Operation > Front desk > Property reception book
Check the status column so that this role has access to modify the reception book.
