In Ulyses KSK you can also execute and schedule a work order to facilitate tasks for the maintenance team.
Here you can create work orders, assign tasks to team members, schedule preventive maintenance dates, and track the status of each task.
HSK > Maintenance > Work Order
Here you can create new work orders. Tasks are organized in different stages including "TO DO", "in progress", "review" and "done". You can move tasks from one stage to another as you complete them.
In the mobile version of HSK, you can only view work orders that have already been created; you cannot create a new one.
Work Order Views
There are 3 possible views for WORK ORDERS:
Here you can filter by category, priority, assigned to, check-out from and to, check-in from and to, and start.
- CALENDAR
The calendar can be viewed by month, week, and day.
Here you can filter work orders by user and by priority.
- BOARD
Here you can filter work orders by date, assigned to, and category.
Create New Work Order
To create a new work order, simply select New Work Order:
A form will appear that you can fill in with all the details of the new work order.
Here you can select:
-Work order name: This is the name given to the task to be performed in the maintenance.
-Priority: Indicates the importance of the task compared to other pending tasks. Priorities are: very high, high, medium, low, and very low.
-Location: This is the physical place where the maintenance task will be performed.
-Category: This is the classification of the task according to the type of maintenance to be performed. These categories can be customized according to the company's needs. They must first be configured in the chain settings.
-Assignment: Indicates who is assigned the maintenance task.
-Color.
-Start date and end date.
-Description: This is a detailed explanation of the maintenance task to be performed.
-Comments: This is an additional space to add relevant information about the maintenance task, such as observations or additional notes.
Once a work order is created, you can make changes to its settings, change its status, delete it, add documents or photos, and also add tasks.
Each work order can, in turn, be divided into tasks.
For example, if you create a work order called "Air Conditioner Maintenance", you can add two tasks: "Air Conditioner Inspection" and "Clean Air Conditioner Filters". These tasks can be deleted or marked as completed once they have been performed.
Bulk Work Order Status Update
If you want to change the status of several work orders at the same time, it is possible to apply a bulk status update from the list view. The steps to follow are as follows:
- Select all the work orders for which you want to change the status.
- Select the "Update Status" option.
- Choose the new status you want to apply to the selected work orders.
This way, you can change the status of multiple work orders at once, which is especially useful when you need to update many maintenance tasks simultaneously.
