Task sheets correspond to the distribution of all the rooms in the property among the different housekeeping agents.
Ulyses Suite allows for the manual or automatic (assisted) creation of task sheets. The only difference between both creation modes is that Ulyses HSK will distribute the spaces evenly among the different task sheets.
Automatic creation of task sheets
The automatic creation of task sheets allows us to assign all spaces randomly and evenly to all agents based on the number of task sheets we want to create, or simply by indicating the number of agents available for a specific day.
To do this:
- Ulyses HSK > Task Sheets > Sheet Generator for the day you want to generate the tasks
- Next, select the type of task sheet you want to use, which will allow you to define the number of sheets that will be generated.

- By users: Will create as many sheets as the number of housekeeping agents you indicate.
- By number of tasks: Will create as many sheets as the number of cleaning tasks you indicate.
- By floor: Will create as many cleaning sheets as the number of floors you indicate.
- By cleaning areas: Will create as many cleaning sheets as the number of cleaning areas you indicate.
- Finally, configure the task:

- Code: Indicates the code of the task sheet.
- Name: Indicates the name of the task sheet.
- Date: Indicates the day the tasks will be created.
- Tasks: Indicates the tasks to be performed.
- Status type: Status of the rooms that UC will evaluate to include in the task sheets.
- Situation type: Situation of the rooms that UC will evaluate to include in the task sheets.
Once the form is completed, the task sheets will be generated as shown below.
If you access Ulyses HSK mobile as a user who has been assigned tasks, you will be able to see the task sheet assigned to that user, along with all the modules corresponding to that task.
Manual creation of the task sheet
Manually creating a task sheet will allow you to assign facility tasks and specific spaces to a particular agent. This way, you can define each cleaning agent's task sheet.
To do this:
Ulyses HSK > Task Sheet > New
Note
It is important to keep in mind that at the start of a new day, there may not be any available created automatically through scheduled configurations.
As a general rule, you should create one task sheet for each cleaning agent you have available.
For example, if you have three cleaning agents, you should create three task sheets as shown in the following image.
Since we have not yet added any modules to any of the sheets, both the estimated time and remaining time will appear as 0 hours and 0 minutes. The next step will be to add modules to each of the task sheets.
Once the spaces are distributed among the different sheets, it will look something like the following
If each cleaning agent now logs into the Ulyses HSK mobile app, they will be able to view the different task sheets assigned to them, along with the corresponding modules they must complete. This way, each agent will have a clear guide of the tasks they need to perform during their workday.
