All individuals who have stayed at any of our properties are considered private customers. Private customers are created as such in Ulyses Cloud once they have checked in to a reservation, and not when the reservation is created.
From the detail of a private customer’s profile, the following personal information can be managed:
- Identity document
- Contact information
- Addresses of interest
- Preference management
- Loyalty programs
- Privacy
- Comments
- Guarantee cards
- Custom fields
However, in addition to collecting customer information, we can also view their reservation history, previous invoices, deposits, and even assign an associated credit account.
Additionally, the following operations can be performed from the profile:
- Merge customer
- Anonymize personal information
- Change control on the profile
- Delete customer
- Request credit card from customer
Identity document
In some countries, it is mandatory to capture the identity document details of our customers as a security and control measure. Subsequently, in some cases, this information must be transmitted to the relevant authorities.
Contact information
Contact information includes email addresses and phone numbers of interest.
Contact addresses
Contact addresses indicate the customer’s location.
Loyalty program
From the Loyalty section, we can select the customer's loyalty program, as well as the corresponding card number (Membership), as shown below
It is important to note that any loyalty program created in the chain can be selected, as a customer may stay at different properties within the same chain. However, not all properties may have access to all programs.
Preference management and VIP level
From the customer profile, we can assign customer preferences at both the property and chain level.
In Ulyses Cloud, we have chosen to distinguish between property and chain preferences, since not all customer preferences necessarily apply to all properties.
Later, during the check-in process, relevant preferences will be recalled.
Privacy
This section allows us to indicate the following:
- Marketing allowed: Indicates if the customer gives us explicit consent to send communications.
- Data transfer: Indicates if the customer authorizes us to send their data to third parties.
Comments
In this section, customer comments can be entered, both at the chain and property level, which will later be accessible from the reservation.
Guarantee cards
From this section, it is possible to view guarantee cards (usually credit cards) that are linked to this particular customer, as well as their status.
Custom fields
In this section, we can see all custom fields that have been created and, if desired, specify the corresponding value.
Merge customer
Note: This operation is sensitive and cannot be undone.
Through this operation, we can merge N potentially similar customers to obtain only 1. Thus, the result of this operation is to add all the information from the Targets to the Reference profile. In the current version, only contact details (emails and phones) and addresses are added.
The purpose of this operation is therefore to optimize the data quality of the database.
To merge customers, we must access the detail of one of them (reference guest) and click on Merge customer from the options menu, then select the target(s) we want to can be:
- Suggested: Ulyses Cloud suggests potentially duplicate guests. From there, we can select the ones we want and continue with the merge process
- Manual: This consists of manually searching for the profile we want to merge with our reference.

Change audit
In order to have control over all changes that may have occurred to a customer, we can access the customer's Activity Stream from the top Options menu
Delete customer
Deleting a customer is only possible if they are not associated with any reservation, do not have invoices, do not have deposits, and are not a contact for any company. Otherwise, we can deactivate them or replace them with another existing customer.
Request credit card from customer
To request a credit card from a customer, go to
- Guarantees section > click on Request guarantee
- Then we will follow the same process described in the following article.
