A reservation in Ulyses Cloud can consist of a single room or multiple rooms. In the case of multi-room reservations, Ulyses refers to each room as a 'Stay' in order to allow actions to be taken on the reservation as a whole or on specific stays. For example, a reservation with 2 different stays (or rooms) would look as follows:
The top part of a reservation shows a summary of all the stays that make up the reservation, including
- Arrival/Departure dates: Indicates the arrival and departure dates for the stays. If the dates differ between the different stays, then
will be shown.
- Number of stays: Indicates the number of stays that make up the reservation.
- Occupancy: Indicates the total number of guests for the entire reservation. So, if a reservation with three stays has two guests in each, it will show a total of 6 guests.
- Reservation holder: This is common to all stays and indicates the main contact person or holder of the reservation.
- Total / Paid / Balance: Indicates the gross 'total' amount for the entire reservation, what has already been 'paid', and the resulting 'balance' from this difference. Note: The tourist tax will never be considered in these calculations.
- There is an Options button that gives access to operations for the entire reservation, acting globally on all stays.
From the left side of the screen, summaries of each of the reservation's stays are displayed. By selecting one of them, the 'Detail' tab is updated to show all the data for that stay.
The details of each stay are made up of information distributed across different tabs:
- Detail: consists of different sections that provide basic information about the reservation (reservation holder, dates, accommodation, companies involved in the reservation, prices, segmentation and/or comments).
- Guests: contains personal information about the guests who will be staying in that stay and which must be completed to finish the check-in process. Once the guests of a stay have checked in, they are created as Clients in Ulyses Cloud.
- Services: contains additional services contracted in the reservation.
- Preferences: shows all the preferences for the stay. The reservation's preferences correspond to the sum of the preferences of the clients who make it up plus any additional preferences the user has decided to add. Subsequently, preferences will be shown during the check-in/out process depending on their configuration in the chain.
- Payment: allows you to enter advance payments for the room. It is possible to indicate whether a deposit refers only to the stay you are in or to the entire reservation.
- Billing: shows all invoices and folios that have been issued in reference to the stay you are in.
- Routings: allows you to create billing automations that route charges to each folio according to the selected payment method.
- Document: allows you to upload documents related to the reservation.
- Activities: allows you to generate commercial follow-up activities related to the reservation you are in.
- Follow-up: you can set up reminders or notes so that a pop-up appears at check-in or check-out.
- Wake-up call: allows you to schedule wake-up call times for different reservations and collect them in a list.
- Notes: notes can be added to reservations and archived internally.
